Latham Family Reunion National Chapter By-Laws
ARTICLE I. - NAME
This national chapter shall be known as Latham Family Reunion (LFR) National Chapter.
ARTICLE II. - OBJECTIVE
Latham Family Reunion shall be a non-profit national chapter. The objective of the national chapter is to promote and create interest in attendance and participation in all Latham Family Reunions; to recognize and promote excellence within the family. This national chapter shall be incorporated.
ARTICLE III. - MEMBERSHIP
Membership in Latham Family Reunion will remain open to all family members and non-family members who are sponsored by a family member in good standing.
No limit shall be set on the number of members.
For purposes of these by-laws, an Adult Member is at least sixteen (16) years of age.
Prospective members will be required to fill out an application for membership. Member shall be given a copy of the by-laws and asked to read it, to ensure member is aware of the national chapter's requirements.
Membership—active or inactive will be determined based on payment of dues. Members who no longer wish to participate, should notify an officer of the national chapter. To remain an active member, dues must be kept current.
A member (one person) in good standing for 2 years (24 months), 100% of registration fee shall be paid by the National Chapter, a member in good standing for 1 year (12 months), 50% of registration fee shall be paid by the National Chapter. Note: a check will be mailed to the member in January of the reunion year.
ARTICLE IV. - MEETINGS
Meeting will be held annually.
At least one quarter of total membership must be present to represent a quorum. If a quorum is not reached, no new business decisions shall be made nor shall any tabled actions from previous meetings be voted on.
ARTICLE V. - DUES
Monthly dues shall be ten dollars ($10.00).
There is a one-time initial application membership fee of five dollars, ($5.00) for all members joining the LFR National Chapter. Purpose: to offset cost of start-up, postage, teleconference, etc.
ARTICLE VI. - OFFICERS
The officers shall consist of: President, Vice President, Secretary, Treasurer, Family Historian and Sergeant-at-Arms. All officers shall hold their offices for four (4) years commencing in July in year reunion held (reunion held on odd years). Elections of a new slate of officers will be held by written ballot (by mail or e-mail) and announced at reunion. Current officers may run for re-election, with their consent, to an additional term of their current or different office. All nominees on the prepared ballot by the nominating committee, need not be present at the time of election in order to be eligible for that office.
ARTICLE VII. - DUTIES OF THE OFFICERS
The President shall preside at all meetings; the President shall be the chief executive and enforce all rules/policies of the national chapter. The President shall oversee all transactions of the national chapter. In the event of a vacancy in one of the offices, the President shall appoint a replacement who shall hold that office until the next election.
The Vice-President shall perform the duties of the President in their absence. The Vice-President shall perform other duties as may be required.
The Secretary shall be required to keep records of all proceedings. The Secretary shall keep and read the minutes of membership at each meeting. The Secretary shall call roll and keep a roster of all members. The Secretary shall be responsible for updating addresses, phone numbers and E-mail addresses. The Secretary will be responsible for sending a card to any member, spouse or children of member who is ill in the hospital or home. The Secretary shall perform other duties as may be required.
The Treasurer shall keep records of all financial transactions of the national chapter. The Treasurer shall provide copies of the itemized statements of all financial transactions to the members at each meeting. The Treasurer shall establish an account in a recognized banking institution in the name of Latham Family Reunion with the signatures of at least three (3) family members and requiring two (2) signatures for withdrawals. The Treasurer shall keep an accurate account of all deposits, donations, receipts and disbursements. The Treasurer shall issue all disbursements with Latham Family Reunion checks. Bank statements shall be mailed directly to the President. The Treasurer shall perform other duties as may be required.
The Family Historian shall provide new members with a copy of the by-laws. The Family Historian shall keep records of all past, present and future family members. The Family Historian shall be in charge of the family scrap book and pictures. The Family Historian shall be responsible for keeping the family history current. The Family Historian shall perform other duties as may be required.
The Sergeant-at-Arms shall maintain order during meetings and other national chapter functions. The Sergeant-at-Arms shall keep count of the votes. The Sergeant-at-Arms shall perform other duties as may be required.
Note: Each officer shall be responsible for briefing incoming officers upon resignation or termination of office.

NATIONAL CHAPTER ELECTION GUIDELINES
The officers of the Latham Family Reunion National Chapter are a President, Vice President, Secretary, Treasurer, Family Historian and Sergeant at Arms. Elections shall take place every four years in July. Each officer shall be elected by an affirmative vote of a majority of the Latham Family members. Each office is up for reelection every four years. You must be a member of the National Chapter in order to run and hold office. Applicants will need to notify the National Chapter no later than December, prior to an election year, in order for your name to appear on the ballot for election.
NATIONAL CHAPTER FUNDING
Beginning with the 2017 reunion, the Latham Family Reunion National Chapter (LFRNC) will provide $500 (USD) to the current local host chapter for the Latham Family Reunion to help defray some of the initial costs that the planning committee will incur. With each bi-annual reunion, those family members electing to form local chapters can be given organizational and financial assistance during the planning of the Latham Family Reunion. After the local chapter has opened a bank account, the chapter can then request funds for budget relief funds.
The LFRNC will provide $500 (USD) to the current local host chapter upon availability of funds. If the local chapter has excess funds after all obligations have been met, the LFRNC should be reimbursed.
The local chapter can request funds from the LFRNC Treasurer by using the online Budget Request Form. If you have any questions, you can find the contact information for the current Treasurer on the form itself or at http://bit.do/LFRNCTreasurer. You can submit your request for funds at any time. Chapters that receive funds must provide the name and contact information of the local chapter officers or a contact person or persons, which will be used to facilitate communication between the National Chapter and the local chapter.

LATHAM FAMILY SCHOLARSHIP
The Latham Family Scholarship Program (“Program”) was created by the National Chapter to provide financial assistance to deserving high school seniors in the Latham Family. Funds for the support of the Program are contingent each year upon appropriations made available from the proceeds of the Latham Family National Chapter (“LFRNC”).
A scholarship will be offered each Academic Year, the period of time in which a student is expected to complete the equivalent of at least two semesters or three quarters of academic work.
In order to qualify for a scholarship, a student must meet the eligibility requirements pursuant to the Rules Governing the Latham Family Scholarship. The LFRNC, as agent of the Program, is authorized and directed to develop, adopt, and implement policies and procedures as may be necessary to assist with the administration of the Program.
